Common questions

Something not covered here? Ask us directly.

Why would a business sync two QuickBooks files?

Groups with several trading entities, franchises, or a separate file per branch need consolidated reporting without merging the books. Syncing between files keeps each entity's accounts intact while pushing the figures needed for group reporting into one place.

Can QuickBooks Desktop and QuickBooks Online be connected to each other?

Yes. A common arrangement is Desktop as the operational file with Online used for reporting and remote access, or the reverse during a staged migration. Desktop is reached through the Web Connector and Online through its API.

Which records can be transferred between files?

Customers, vendors, items, invoices, bills, payments and journal entries, with the chart of accounts mapped between the two files. Transfers can be limited to summary journals where the receiving file only needs totals.

How are duplicates avoided when the sync runs both ways?

Each transferred record keeps a cross-reference to its counterpart, so a record that comes back on the return pass is recognised and updated rather than created again. This matters most on two-directional setups, where naive syncing produces duplicates within days.
